Four roles,

Before getting into details, let's be clear about who does what. There are 4 roles involved, each with a distinct function.

YOU

Vending Operator

You own the machines and offer the service. Activate cashless, sign the deal with the company, receive money monthly.

The Client Company

The company that wants to offer free coffee/snacks to employees. Pays you monthly, manages the employee list.

The Employee

Activate the account once with Google or Apple. When they scan the sticker on the machine with their phone, they're automatically recognized and consume within the allocation limit.

XVend

Provides the technology: dashboard for you and for the company, QR generation, consumption validation.

HOW IT WORKS

From signed deal
to first coffee consumed.

  1. 1 OperatorActivate the cashless module in the dashboard and offer the service to companies whose offices have your machines.
  2. 2 OperatorCompanySign deal directly. You set the monthly allocation, rules and price. The company pays you monthly.
  3. 3 CompanyImport the employee list in its dashboard (emails). The XVend system sends each employee an invitation email with an activation link.
  4. 4 EmployeeActivate the account with one click. They click the link, choose "Continue with Google" or "Continue with Apple". Done. Once, in 5 seconds.
  5. 5 EmployeeScans the sticker on the machine with their phone. The system recognizes them automatically (already logged in with Google/Apple). Allocation is checked, product is dispensed, no payment. No app, no new account, no passwords.
HOW IDENTIFICATION WORKS

Login with Google or Apple.
That's it.

At activation, the employee connects once with their Google or Apple account. From then on, when scanning an XVend sticker on the machine, the system automatically recognizes them — no app, no additional account, no password.

Changes phone

Logs in with the same Google/Apple ID on the new phone. Identification works immediately, no reactivation needed.

Loses phone

The company revokes access from the dashboard. A thief can't consume on the employee's behalf.

Leaves the company

The company deactivates the profile. The next payment is standard — Apple Pay or Google Pay.

Security

The login used by Google and Apple is industry-standard. We don't see the password, we only get confirmation that it's you.

Why no personal QR in Wallet? Because the machines don't have cameras. Identification must happen on the employee's phone — and Google/Apple ID is the simplest, safest method, no apps to install.

Max 30 coffees/month/employee. Or max €X/employee/month. You decide the limit.

Time interval

Just 8:00-18:00. Or 24/7. Or only at lunch break. Configurable.

Product type

Coffee only. Or coffee + snacks. Or all products. You choose.

Locations

Only at the company office machine. Or across your entire machine network.

If the employee exceeds the monthly allocation, the system doesn't block access — it offers them the option to pay the difference out of pocket (Apple Pay or Google Pay). That way you don't lose any transactions.

FAQ

What operators ask.

Do I need to download an app?
No. Everything works in the browser. At activation you log in with Google or Apple, that's all. Optionally, you can add XVend to your phone's home screen (from the browser menu) for faster access.
How does the machine identify me when I scan?
The machine doesn't identify you — the XVend platform does. When you scan the sticker, your phone opens the payment page. If you're already logged in with Google or Apple, the system recognizes you immediately and shows available allocation. The machine only receives the signal that the transaction is valid.
I change phones. Do I need to redo onboarding?
No. On the new phone, log in with the same Google or Apple ID. On the first scan of an XVend sticker, the system recognizes you and you continue where you left off.
What if I use the browser in incognito mode?
In incognito the session isn't kept. The system will ask you to reconfirm with Google or Apple ID — one tap with biometrics. On the next normal use, everything works as before.
Can I lend my colleague my access?
No. Identification is tied to your Google or Apple account, which is unlocked with your biometrics (Face ID, fingerprint). Consumption goes on your account, and the company sees in the dashboard who consumed what.
What data do you collect about me?
Only the name and email from your Google or Apple account, plus your consumption history (what product you took, when, from which machine). We don't read emails, don't access contacts, don't store passwords. The login uses Google and Apple's standard protocol.
Who invoices the client company?
You, the operator. XVend doesn't enter the commercial relationship between you and the company. You issue the monthly invoice to the company for subscription/allocation. XVend only provides the technology.
What happens if the employee exceeds the allocation?
The system offers them the option to pay the difference out of pocket (Apple Pay or Google Pay). You don't lose the transaction and the employee has flexibility.
Does the company see what each employee consumes?
Yes, in its dashboard it sees aggregated consumption per employee (coffees/month, total). However it doesn't see exact details for each individual transaction — that level remains with the operator.
How is the commercial deal structured?
You (the operator) negotiate directly with the client company. You set the allocation, price, rules. When signed, you get dashboard access to configure everything.
What happens if an employee leaves the company?
The company, in its dashboard, deactivates that employee's QR. From that moment, the QR no longer works at the machine.
Do I need to change hardware?
No. The standard XVend module supports cashless, it's just a dashboard setting.
